Personal Assistant

  • Operating full diary management for chairman, which  includes; arranging meetings, typing confidential letters, keeping records of personal assets and confidential  documents
  • Accompanying the chairman and engineers team aboard  to conclude major projects' contracts  whenever it is required in order to provide more accurate information and quick assistance
  • Organizing itineraries , accompanying & escorting foreign delegates
  • Taking minutes of meetings
  • Attending to all incoming and outgoing mails for the chairman
  • Developing an internal filing system for administration, ensuring the protection and security of files.
  • Developing and updating suppliers database .
  • Dealing with internal and external queries where appropriate.
  • Supervising regular supply of all required office materials including stationery, buffet, and office equipment/furniture.
  • Liaise with staff, vendors, clients, and guests

Office manager

  • Responsible for all sort of communication with GM inside & outside Egypt.
  • Handling and following-up the documents flow to and from the GM
  • Handling outgoing/incoming correspondences for the GM.
  • Organizing itineraries , accompanying & escorting foreign delegates
  • Taking minutes of meetings
  • Handling & supervising all office appliances
  • Responsible for following up other departments
  • Design and implement Maintenance of the filing system hard and soft copies

Logistics coordinator

  • Preparing a daily time sheet for vessels & market situation including ( freight rates , cargo prices , bunker prices )
  • Making reliable reports for each shipment by coordinating with shippers , receivers & agents
  • Processing all shipping documents ( bill of ladings , manifests , cargo plan .. etc )
  • Revising all shipping accounts ( follow-up in /out remittances – issuing invoices – receipts )
  • Keeping an updated record for all relevant shipping documents ( charter parties & vessels recaps )
  • Dealing with Airlines, Shipping lines, booking shipments and following up with International agents on orders till shipment arrival

Executive Secretary

  • Typed business and official documents as per boss' instructions
  • Scheduling business meetings and making travel arrangements
  • Reads and routes incoming mail, and replies to email messages as assigned.
  • Recruiting, training and supervising junior staff, and delegating work as required
  • Ordering and maintaining stationery and equipment supplies.
  • Communication with customer for shipments' update from order set to order finish.
  • Issuing draft invoices for accounting purposes.
  • Handling petty cash, courier packages, stationery & office maintenance

  • Organize Managing director’s agenda.
  • Organize meetings and taking minutes of these meetings.
  • Filing and sorting of important documentations

  • Properly receiving and hosting Managing director’s visitors and incoming calls.

  • Drafting and follow up Managing director incoming and outgoing letters, correspondences and emails
  • Responsible of Managing director’s travel itinerary; travel arrangements, accommodation, bookings, etc.

Bachelor of Arts - English Department
