Event / On-site Meeting Coordinator
Handle and oversee meeting specifications, coordinate food and beverage flow, verify appropriate décor that may include: florals, linens, color schemes meet the client’s expectations. Prepare and manage the meeting registration area, which includes nametags, meeting materials and welcome packets from small groups of 25 participants to over 2,000 attendees. Act as the on-site meeting liaison between the venue staff, the meeting participants, the speakers and the client. Overseeing the meeting schedule in coordination with the meeting timeline. Supervise transportation arrivals, departures, shuttles, dine-a-rounds and V.I.P. hospitality. Research and create unique group activities negotiating with vendors and suppliers to determine cost and price. Research possible hotels and exclusive venues ideas for upcoming events according to clients needs and budget. Train and supervise on-site staff when required for events.
