MEDICAL STAFF SERVICES- PHYSICIAN RECRUITING & CREDENTIALING ASST
- Serve as secretary for the Medical Staff Service Office performing a variety of confidential and highly sensitive functions in support for the Medical Staff Department, Director of Medical Staff, and Chief Medical Officer as well as other members of the Executive Leadership Team such as writing minutes.
- Assist in physician recruitment by emailing and cold calling potential candidates, coordinating appointments, making reservations, scheduling site visits and preparing orientation packets. Working closely with HR to coordinate and onboard candidates for most effective recruiting practices.
- Proficient in using Practice Match, Practice Alert, and Taleo systems for recruitment and posting of jobs.
- Obtain OIG (Office of Inspector General) and SAM (System for Award Management) report as needed.
- Obtain a Washington Access to Criminal History (WATCH) in the Washington State Patrol site to all providers credentialed at Harrison for background screening.
- Support the Medical Executive Leadership by preparing and disseminating highly sensitive agenda packets while keeping electronic and hard copies of sensitive materials. Duties include photocopying, collating, preparing handout documents, PowerPoint presentations and writing minutes on behalf of the Section Chiefs.
- Assist credentialing specialist with mailings of application and reappointment packets in a timely manner via email, mail or courier.
- Track expirables (licenses, DEA certificate, malpractice insurance, immunizations records, etc.) and advise practitioner as due date draws near leading to 100% hospital policies and bylaws compliance.
- Respond to routine external request for affiliation verification of practitioners and preparing verification templates for individual practitioners.
- Assigned to the onboarding of Naval Residents and various medical students that rotate at Harrison Medical Center. Duties include verification of various credentialing forms such as malpractice insurance, CV, immunization records, and obtaining school affiliation agreements.
- Responsible for the pairing of sponsoring providers with residents or medical student and scheduling training to Harrison Medical Center's electronic medical record (EPIC).
- Monitor and revises calendars for the Director of Medical Staff and Harrison's Provider Clinical Educator for EPIC training.
- Schedule various Medical Staff, committee, and community meetings. Arrange room reservations, restaurant reservations, and any catering needs including payment.
- Prepare bank card reconciliation for members of the Medical Staff as requested including preparing expense reports in a timely manner.
- Maintain office addresses and physician information in Harrison's rolodex and EPIC system to assure most accurate up to date information.
- Establish and maintain excellent working relationships with colleagues as well as external customers. Greet and assist customers with service excellence. Able to manage multiple phone lines efficiently.
- Proficient in Microsoft Office applications as well as, but not limited to office machines such as fax, scanner, and computer.
